Responsible for operating the Member Tracking System, making sure that only members enter the building, taking money and writing receipts for Memberships and  Replacement Cards, and answering phones when the Secretary/Administrative Assistant is away.

 

KEY ROLES (Essential Job Responsibilities) 
 

Operating the Member Tracking System 

  1. The Member Tracking System is a program that helps track our youth: Ensure that members are able to participate in the Club by determining if they are in the system or not.

Taking Money 

  1. Writing receipts for Memberships and replacement cards.

 Answering Phones 

  1. When the Secretary/Administrative Assistant is away you answer the phone and take messages for the staff.  The Members are not allowed to use the phone to make or receive calls, unless it is an emergency.

 

ADDITIONAL RESPONISBILITIES: 

1.          Hand out applications for memberships and employment.

2.          May consult with parents concerning membership issues.

 

SKILLS/KNOWLEDGE REQUIRED: 

  • High school diploma or GED.
  • Some computer knowledge
  • Strong communication skills, both verbal and written.

Prepare Youth for Success

 

  1. Create an environment that facilitates the achievement of Youth Development Outcomes:

 

·        Promote and stimulate program participation.

·        Register new members and participate in their club orientation process;.

·        Provide guidance and role modeling to members.

 

 

Program Development and Implementation

 

  1. Effectively implement and administer program, services, and activities for drop-in members and visitors.

 

  1. Monitor and evaluate programs, services and activities to ensure safety of members, quality in programs and appearance of the unit at all times.  Prepare periodic activity reports.

 Supervision

 

  1. Ensure a productive work environment by participating in weekly unit staff meetings.

 

ADDITIONAL RESPONSIBILITIES:

 

  1. May participate in special programs and/or events.
  2. May be required to drive Club van periodically.

 

RELATIONSHIPS:

 

Internal:          Maintains close, daily contact with Club staff (professional and volunteer) Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct, and advise/counsel.

External:         Maintains contact as needed with external community groups, schools, members’ parents and others to assist in resolving problems.

 

SKILLS/KNOWLEDGE REQUIRED:

 

  • High school diploma or GED.
  • Experience in working with children.
  • Knowledge of Youth Development.
  • Ability to motivate youth and manage behavior problems.
  • Ability to deal with the general public.
  • Ability to plan and implement quality programs for youth.
  • Ability to organize and supervise members in a safe environment.
  • Mandatory CPR and First Aid certifications.
  • Valid state Drivers License.

TITLE: Program Director

PERFORMANCE

PROFILE SOURCE: Youth Development Professional

DEPARTMENT: Programs

REPORTS TO: Unit/Branch Director

PRIMARY FUNCTION:

Responsible for overseeing the delivery of a broad range of programs within a designated Clubhouse, such as Character & Leadership Development Education& Career, Health & Life Skills, The Arts, Sports, Fitness & Recreation, and Specialized Programs. Plan, develop, oversee implementation and supervise programs and program staff.

KEY ROLES (Essential Job Responsibilities)

Prepare Youth for Success

  1. Plan and oversee the administration of designated Clubhouse programs and activities that support Youth Development Outcomes:

· Establish Clubhouse program objectives consistent with organizational goals and mission.

· Oversee the provision of day-to-day program activities in accordance with established standards and goals.

· Ensure that members are encouraged to participate in a variety of program area/activities and receive instruction and constructive feedback to develop skills in program area(s).

· Demonstrate leadership to assure conduct, safety and development of members.

Program Development and Implementation

  1. Establish and maintain Clubhouse program goals and settings that insure the health and safety of members. Ensure that site staff understand and effectively communicate standards of program; that they ensure program areas are safe, well ventilated and well lit; and that club equipment is maintained in good working condition.
  1. Ensure the evaluation of Club programs on a continual basis and ensures programs/activities respond to member needs and their gender and cultural diversity.
  1. Control Clubhouse program and activity expenditures within approved budget.

Program Director:

Supervision

  1. Allocate and monitor work assigned to program volunteers and staff, providing ongoing feedback and regular appraisal. Identify and support training and development opportunities for assigned volunteers and staff.
  2. Oversee proper record keeping and reporting including activities and events conducted, breakdowns of daily participation figures, notable achievements and any problems/issues.
  3. Ensure productive and effective performance by all program staff and volunteers.

Marketing and Public Relations

  1. Increase visibility of Club programs via posting of daily schedule, announcements of upcoming events and the dissemination of timely information for the development of advertising and promotion through mailings, fliers and media releases.

ADDITIONAL RESPONSIBILITIES:

  1. May oversee special programs and/or events (i.e. Keystone, Youth of the Year and Awards Programs), and /or participate in the implementation of other unit activities as necessary.
  2. May be required to drive Club van periodically.
  3. May consult with parents concerning member and unit issues.
  4. May handle deposits and banking transactions.

RELATIONSHIPS:

Internal: Maintains close, daily contact with Club staff (professional and volunteer) Club members, and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions; instruct, and advise/counsel.

External: Maintains contact as needed with external community groups, schools, members’ parents and others to assist in resolving problems.

SKILLS/KNOWLEDGE REQUIRED:

  • Four year degree in related field from an accredited college or university, or equivalent experience.
  • A minimum of five years work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the development needs of young people.
  • Strong communication skills, both verbal and written.
  • Group leadership skills, including an understanding of group dynamics.
  • Demonstrated organizational, staff and project management abilities.
  • Mandatory CPR and First Aid Certifications
